Library Spaces

The Nelson Poynter Memorial Library supports the research, learning, and teaching needs of USF students and faculty by providing access to resources, technologies, and learning spaces.

Spaces

The library offers spaces for individual and group use, including: Library spaces may be reserved by USF St. Petersburg faculty, staff, and students, with approval from the Campus Dean or designee.

Special Events Guidelines

NPML provides reservable spaces for learning, research, and collaboration. The library does not manage events; all scheduling, set-up, and clean-up are the responsibility of the event sponsor.

Special Events Sponsors

  • Academic and administrative units on campus must designate a sponsor as the primary contact.
  • The sponsor coordinates with Library Operations/Marketing & Outreach, Facilities, University Police, Catering, Custodial, Tech, etc. policies and procedures to all outside vendors who service the event.
  • Library staff will only coordinate with Student Centers & Events for furnishings/AV.
  • Sponsors must communicate library guidelines to outside vendors.
  • Student organizations must also have a staff sponsor present during events.

Guidelines for Use

Scheduling:
  • Submit space reservation form requests at least 7 days in advance (small events) or 14 days (large events).
  • The library can accommodate up to three events per week and one per day from all requestors.
  • The library will not hold events during the two weeks prior to the end of the semester
  • Events are confirmed only once space reservations are approved.
Setup and Use
  • Sponsors handle all Facilities/Custodial requests.
    • Events must be held during library hours; staff must be present. No non-library collaborated events after 5:00 p.m.
    • Sponsors manage set-up, clean-up, and return spaces to original condition.
    • Furniture may not be moved without prior approval; sponsors cover related costs.
    • All catering items must be removed immediately; no storage provided.
    • Alcohol requires USF Police approval.
    • Departments are responsible for extra cleaning/repair costs.

Important Note Library spaces remain study spaces. Events must respect student needs, safety, and quiet. Entrances and exits must stay clear, and no lighted or flammable materials are allowed (except approved catering equipment).
