Digitization Requests

Tampa Special Collections provides a limited number of high-resolution, digital reproductions of manuscripts, photographs, maps, and other resources located on the Tampa Campus. If you require such scans for your research, please follow the instructions below:

Instructions: Please complete and submit this form. Due to limited staffing, requests will be reviewed and acknowledged within three weeks. Payment by non-USF affiliated researchers is required before requests are processed.

Copyright: All requests will be reviewed for copyright compliance. Many of the collections and individual items in Special Collections may be restricted by donor request and/or protected by copyright law (Title 17, United States Code). It is the responsibility of the user to observe applicable copyright laws as well as any applicable exemptions. Digital Reproductions: Requests are evaluated on a case-by-case basis. Requests may be fulfilled as researcher requests or full digitization requests. Full digitization requests may be scanned at higher resolutions than researcher requests. Some materials may not be available for reproduction due to departmental restrictions, condition of item, or copyright laws.

Access Period: You will have access to the digitized files for 30 days. Files will be deleted after the designated access period.

Fees: Special Collections provides a limited number of reproductions per customer per semester. All customers may receive 50 free scans from an archival collection or a single book/journal per semester. Requests for 51-250 scanned documents by non-affiliated researchers and USF faculty, staff, students, and alumni who are not currently teaching or taking classes will incur a fee. Staff will communicate with patrons requesting more than 250 scans.

Requests over the free amount will incur the following fees:

  • Regular requests: Base fee of $10 + $0.50/page.
  • Rush requests: $25 + base fee of $10 + $0.50/page. (We are not currently able to accommodate rush requests.)

Special Collections will communicate all fees before scanning begins. Patrons must approve of and pay for the scans before scans are delivered.
